Operational Assistant (m/f/d) fixed term contract, Part Time
The position
We are seeking a well-organized and team-oriented Operational Assistant (m/f/d), on a part-time basis (20 hours per week), to join our Legal & Compliance department at the Boehringer Ingelheim site in Vienna. The primary focus of this role will be to provide support to the teams and members of the Legal & Compliance department. Please note that this is a temporary position until 30 September 2026.
Tasks & responsibilities
- Support the Legal & Compliance teams with administrative tasks including organizing internal and external meetings (digital and face-to-face) and managing appointments.
- Assist with business trip arrangements such as workflows, travel expense management and support internal projects by preparing and compiling documents.
- Prepare presentations, training materials, letters, checklists; review and revise drafts, contracts and templates for proper formatting and accuracy.
- Act as key user for Legal & Compliance systems (CorA, LMS, Time Administration), manage MyBI intranet content and support onboarding of new colleagues.
- Handle procurement of supplies and services, create purchase orders, process invoices and manage year-end accruals with law firms.
Requirements
- Completion of commercial school or college (e.g., HAK, HLBA, HASCH); previous experience in a similar position is an advantage.
- Excellent verbal and written communication skills in German and English.
- High level of resilience, reliability and accuracy.
- Strong commitment, collaborative and creative mindset, team player with a “can-do” attitude, solution-oriented, flexible and agile.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook); willingness to learn, creativity in preparing presentations and digital affinity.

The minimum gross annual salary for this position is € 56.500 per year (full-time) according to the classification in the collective bargaining agreement for the chemical industry. Depending on professional experience and qualifications, we offer an overpayment.
