Content Management Coordinator
The Content Management Coordinator is responsible for ensuring on-time and high-quality delivery of tasks, using his/her own subject matter expertise of Platforms and Process to provide guidance and direction to his/her coordination scope group. It is the point of escalation for the group's internal customers on topics such as challenges, requests, special projects, and delivery questions & concerns related to his/her scope group.
The Content Management Coordinator needs to make sure that his/her scope group – Functional consultants and operational team supporting out review and approval platform - is effectively and efficiently executing services.

Tasks and responsibilities

  • Ensure on-time and high-quality execution of tasks across his/her scope group coordinating operational tasks and making sure the group is performing according to expectations.
  • Use subject matter expertise of platforms and processes to provide guidance and direction to their group.
  • Act as a point of escalation for internal customers on topics related to their group.
  • Monitor workload and assess needs across his/her coordination scope group.
  • Enforce adherence to processes by both coordination group and internal customers, and define new processes and find service-oriented solutions when needed.
  • Work with his/her coordination group and other members of the team to ensure that as a team, we are delivering excellence - through execution and through the role of consultants who provide guidance, enforce best practices, drive optimization, encourage innovation, and share expertise with internal customers.

Requirements 

  • 3+ years of experience with coordinating the operational tasks and workload of a group and ability to communicate with and connect different personalities and profiles
  • Hands-on experience in Veeva Vault (Promomats, MedComms or similar regulated Vaults).
  • Experience supporting platform operations, including demand assessment, UAT coordination, and release preparation.
  • Understanding of pharma compliance and regulated content workflows, including approvals and audit readiness.
  • Ability to translate business needs into system requirements, collaborating with IT or Veeva teams.
  • Strong customer service mindset, ensuring high-quality support and responsiveness.
  • Solid project and time management skills, capable of handling parallel demands.
  • Self-starter with strong autonomy, able to learn quickly and work with minimal guidance.
  • Able to build trusted relationships, acting as a reliable escalation point for business partners.
  • Strong attention to detail, with ability to analyze issues and make informed decisions fast.
  • Fluent in English, spoken and written, to operate effectively in a global environment. this job will be 100% in English
  • Strong communication skills, able to explain technical or process topics clearly to business users.
  • Self-motivated, self-starter, and quick learner
