In partnership with the Associate Director, the Supervisor, Administrative Services allocates contingent worker resources and tasks for a team supporting one or more departments/functions. The incumbent has management responsibilities for ASC support staff within the ASC Team, while collaborating with the ASC Managers and Associate Director on the overall functioning of the ASC. In collaboration with the Associate Director, this role will appropriately resource and facilitate assignment of contingent administrative support personnel to key business activities, thus ensuring that management goals and objectives are executed.

The Supervisor, Administrative Services effectively fosters and supports a relationship with the business partners and team members to assure a closely coordinated program of activities based on common objectives focusing on process and workflow efficiencies in meeting department requirements.

Duties & Responsibilities

  • Effectively partners and supports relationships with ASC Managers and Associate Director to assure a closely coordinated program of activities based on common objectives focusing on resource allocation, training and process efficiencies in meeting department KPIs.
  • Partners with Associate Director to set/manage expectations of management and ASC by gathering feedback and identifying and resolving operational challenges.  
  • Applies an advanced level of expertise to a wide range of interdepartmental responsibilities and requirements while managing the overall functioning of the team.
  • Responsible for allocating resources throughout the Medicine teams and monitoring performance and daily operations of professionals in department specific knowledge, process and procedures.
  • Communicates and sets job expectations, provides regular feedback, identifies performance challenges, creates action plans and monitors the effectiveness of those action plans with contingent worker management (Magnit).
  • Partners with Associate Director and ASC managers on Contingent worker talent acquisition activities (recruiting and hiring).
  • Secures and maintains experienced and high-quality contingent resources.
  • Leads (recruits, hires, and monitors performance) professionals in department specific knowledge, process and procedures.
  • Monitors productivity levels and identifies opportunities to maintain business support.
  • Develops and implements process improvements that will ensure consistency and alignment across teams.
  • Identifies best practices and executes action plans to achieve integration and alignment.
  • Performs all Company business in accordance with all regulations and Company policy and procedures.
  • Demonstrates high ethical and professional standards with all business contacts and BIPI employees to maintain the Company’s excellent reputation within the medical and pharmaceutical community.

Requirements

  • Bachelor’s degree with minimum of three (3) years’ experience in an administrative or customer service environment required.

OR

  • Diploma degree/Professional Training with five (5) years’ experience in an administrative or customer service environment required.
  • Experience in administrative support role relevant to job function.
  • Incumbent must have adequate knowledge of administrative support requirements necessary to provide the depth and breadth to lead a team.
  • Previous leadership/management experience preferred. 
  • Strong written and verbal communication skills and the ability to be clear and concise in a variety of communication settings.
  • Proven leadership skills, effective decision making, proactively identifying and solving problems related to improving efficiencies.
  • Complete knowledge of co-employment laws.
  • Experience in the implementation of successful training/education programs.
  • Proven organizational skills and demonstrated ability to multi-task.
  • Excellent time management skills with the ability to work well under pressure.  
  • Demonstrated computer skills necessary to function in role.
  • Knowledge of current industry standards and trends.


Eligibility Requirements:

  • Must be legally authorized to work in the United States without restriction.
  • Must be willing to take a drug test and post-offer physical (if required).
  • Must be 18 years of age or older.

Compensation

The base salary range for this position is $74,800 to $112,200. The position may be eligible for a role-specific discretionary bonus, relocation assistance, and/or other compensation elements. We continuously review market data and may adjust salary ranges as needed in the future. Actual compensation will be based on job-related factors such as skills, experience, qualifications, and other factors permitted by law.
