Compensation Data
The base salary range for this position is $90,000 to $147,000. The position may be eligible for a role specific discretionary bonus, relocation, and/or other compensation elements. We continuously review market data and may adjust salary ranges as needed in the future. This role is based on-site at our Ridgefield, CT location with hybrid flexibility of 2-3 days per week on-site.
The Speaker Bureau & Consultant Engagement Operations Manager supports operations management of the BI HP US Speaker Bureau & Consultant Engagement department (SBCE). Reporting to the Senior Associate Director of SBCE, the scope of this role includes project management support for SBCE team for tracking, processing, documenting contracts, honoraria, financials, engagement activity, and vendor and consultant information. This role collaborates with other functions and is also responsible for operational administration of speaker and consultant engagements, including oversight of vendor payment process, reconciliation, and compliance requirements.
This role monitors project planning timelines, frequency of communication, organization, and implementation of SBCE department best practice processes. Serves as owner of operational calendars, engagement tracking tools, bulletins and related materials or resources. The role liaises between all staff in SBCE, works with SBCE engagement management systems and tools to facilitate monitoring of speaker and consultant engagement status, milestones and deliverables from inception through completion. This role coordinates system for collection of and compilation of best practices in order to share back with department and internal colleagues and trigger updates to department’s Standard Operating Procedures.
Duties & Responsibilities
- Responsible for working with SBCE colleagues to set-up, manage submission, and monitor for all speakers, consultants and vendors contracted by the SBCE Team.
- Coordinates, schedules, and conducts weekly team meetings to review and document SBCE status in the US and Spain and capture triage of new programs assignments and sets alerts for deadlines.
- Tracks operations activities for department to be aware of compliance with organizational policies and procedures.
- Sets training sessions and reminders for SBCE to stay current with systems updates.
- Serves as department resource for tracking of all meeting lead assignments.
- Responsible for general Speaker Bureau and Consultant Engagement data collection, reporting and dissemination, including program volume, process status, budget utilization and participation metrics.
- Serves a primary contact for triage of SBCE email contact inboxes and distributes/tracks for follow-up.
- Reads and triages daily (M-F) for resolution to team for response to inquiries in a professional and timely manner, so department delivers on service level guarantees.
- Tracks volume of inquiries and calendar patterns, frequently asked questions, and users, to proactively inform, inquire and educate users/internal clients.
- Tracks new BNA and engagement requests, creates timeline, works with SBCE Leadership to identify and communicate staffing needs.
- Provides day‑to‑day support for event‑related technologies, including Veeva Events, enabling compliant and effective execution across the event lifecycle.
- Collaborates with Information Technology and platform partners to identify, escalate, and support resolution of system issues impacting event operations.
- Works with program leads to develop standardized templates to be utilized by SBCE internal teams and vendor teams.
- Maintains documentation of SBCE successes and activates departmental process adjustments to enhance services that SBCE offers.
Requirements
- Bachelor’s degree required; Project Management Certification preferred.
- Five (5-7) plus years of relevant project management/operations experience required.
- Pharma industry experience preferred.
- Creative problem-solver with strong conceptual and analytical thinking skills.
- Thrives in a deadline oriented, high-volume environment.
- Ability to learn new technical systems ex. BICC and Veeva Events.
- Strong technical competency with ability to navigate software applications and troubleshoot general technical issues required.
- Ability to work well with multiple stakeholders across the company, vendors, and healthcare organizations.
- Capable of meeting tight deadlines and balancing multiple tasks.
