Compensation Data
The base salary range for this position is $170,000 to $269,000. The position may be eligible for a role specific discretionary bonus, relocation, and/or other compensation elements. We continuously review market data and may adjust salary ranges as needed in the future. This role is based on-site at our Ridgefield, CT location with hybrid flexibility of 2-3 days per week on-site
The Director, Internal Meetings will lead and supervise the Internal Meeting Management team, including directing the overall planning, strategy and delivery for internal meetings and incentive trips (“Meetings”). The leader establishes and maintains policies, processes and procedures that determine how Meetings are planned and implemented within US HPBU. The position will ensure all necessary capabilities are owned and their success is measured and tracked. This role will also lead and manage the service delivery of all employees and external partners in the execution of Meetings as well as develop and maintain the associated relationship management framework for such external partners.
This leader has deep knowledge of the Meeting ecosystem and shapes the future state vision for Meeting operations to support scale, compliance, efficiency and best-in-class customer experience. The team is responsible for fostering relationships with meeting owners, planning for and scoping opportunities, advising on key business challenges and effectively managing assigned projects to ensure successful completion and deliver value. The role will function as a thought leader responsible for the continued evolution of Boehringer's Meetings and ensures that they or a team member serves as the US business owner lead for any required vendors, technologies, platforms, and related system integrations. The role will drive the team to turn process innovation opportunities into realistic solutions.
Duties & Responsibilities
- Develop and maintain a centralized Meeting Management program for the US HPBU to ensure consistency, cost-effectiveness, efficiency and scalability to the organization.
- Form and maintain policies, planning standards, engagement model, and procedures and implements best practices and lessons learned to establish proper governance and an accountability structure throughout the Meeting Management team.
- Proactively identifies operational risks, escalates issues as appropriate, and leads mitigation planning to maintain audit readiness.
- Make decisions and develop a strategic approach to Meeting Management in line with the strategic goals of Boehringer.
- Determine objectives of Meeting Management team, including defining and monitoring key performance indicators across operational performance (to SLAs, SOPs, budgets, timelines), compliance, customer experience, vendor performance and business value.
- Lead the development and implementation of corrective actions, enhancements & optimization strategies.
- Ensure alignment of all members of the Meeting Management team through communication and coordination to promote efficient and customer-focused operations.
- Lead (recruit, hire, coach, develop, motivate, manage and monitor performance) a team of direct reports that provide / develop / monitor tactics to drive the Company’s strategic objectives.
- Conduct goal setting, performance evaluations and compensation discussions.
- Coordinate with stakeholders on the performance and expectations of the team.
- Create and maintain a performance-based team culture with clear accountability and a sense of accountability for achieving results.
- Allocate job responsibilities and distribute workload among teams to ensure requirements are met.
- Provide regular feedback, conduct timely MAG Plan reviews, identify performance challenges, create action plans, and monitor effectiveness of those action plans.
- Recognize development areas to improve team members’ skills, competencies and push their growth within the team and the company.
- In addition to direct reports, lead through matrixed teams and external partners to deliver enterprise priorities in a highly operationally complex environment.
- Primary escalation and resolution point for Meeting Management technology and service delivery and integration.
- Develop network of internal/external resources and tools to ensure a balanced mix of all available resources.
Requirements
- Bachelor's degree from an accredited institution; MBA preferred.
- Twelve-plus (12+) years’ experience in pharmaceutical industry or relevant business experience (i.e., large scale direct to consumer events or association meetings) required.
- Strong knowledge of virtual meeting platforms and meeting apps required.
- Experience leading teams required.
- Experience managing external vendors required.
- Demonstrated excellent judgment skills.
- Proven success working cross functionally with high emotional intelligence.
- Solid understanding of current and future market trends in Meeting Excellence.
- Strong Continuous Process Improvement knowledge with a successful record of delivering results while managing projects.
