Description

The Associate Director, Global Real Estate & Workplace is end-to-end accountable to execute global real estate and workplace strategy, projects, priorities and targets within the assigned sites and network (including translation of the global strategy into site specific action plans). Acting as the single point of contact regarding all lease and property related topics in the assigned sites and network for the GFE Organization and the local businesses. This role has end-to-end accountability for safeguarding effective solution delivery and performance management for assigned sites and network. 

This includes for assigned sites and network:

  • Translating global processes and guidelines into sites/network specifics
  • Responsibility for execution of assigned projects
  • Standardization and improvement of process and service efficiency and quality regarding real estate & workplace solutions and their implementation
  • Sharing necessary knowledge and lessons learned
  • Organizing project team and skills efficiently to support sites with high quality services (internal & external teams) 
  • Ensuring governance / compliance to local and site-specific regulations and ensuring the company's reputation
  • Service provider management (escalation level, order management, addendums or change requests to the contract in alignment with global standards and alignment with other functions)
  • Reliable budget planning process by delivering relevant data and insights

This position offers a base salary typically between $140,000 and $190,000. The position may be eligible for a role specific variable or performance based bonus, relocation and or other compensation elements.

Duties & Responsibilities

  • Maintains assigned site and network relationships as well as external stakeholder relationships (e.g. service providers, landlords, etc.)
  • Risk identification & mitigation measures Reporting to Global Head of Real Estate & REFM Commercial Sites.
  • Developing real estate solutions based on global portfolio strategies and deliver transaction management / implementation of agreed asset plans.
  • Regular check of lease portfolio, e.g. track lease expiry list and real estate market development and provide lease negotiation strategies.
  • Proper and audit proof project documentation, e.g. project closure & PPM tool.
  • Supporting global RE&FM with knowledge about assigned sites/network and insights in M&A / Carve-out activities - per request.
  • Manage real estate related queries and problems Exchange and alignment with Global (Senior) FM Manager and local FM leads.
  • Translates and adapts Global Workplace & Project management standards into assigned sites/network workplace solutions, including alignment with stakeholders (HR, IT).
  • Implement and manage contracts from assigned sites/network perspective supporting global RE Vendor Manager in conception and selection processes for Real Estate, Workplace & Project management suppliers/ consultants Contract lifecycle management- performance measurement (SLA and KPI tracking on regional level, budget monitoring, feedback gathering) Supplier Relationship Management.
  • Steady evaluation and optimization of supplier landscape and service (e.g., assessments).

Requirements

  • Bachelor's degree or completed commercial education with in-service training in the field of Real Estate Management, Architecture, Project / Construction Management, or Workplace & Design.
  • Ten-plus (10+) years of practical experience within Real Estate (transactions, financial, legal, strategic, etc.) positions as well as experienced in leadership of complex project teams.
  • Experience in international Real Estate projects incl. CapEx projects (time, cost, quality, budget adhered to).
  • Proven track record in a global environment (incl different cultures) and global matrix organizations, preferable with working experience in at least two different countries.
  • Very good knowledge of Real Estate market mechanism (especially Corporate Real Estate, Leasing & Investment, and Asset Management, Workplace, Design & Project Management)
  • Prepare and deliver influential storytelling presentations.
  • Strong influential communication / networking skills and ability to liaise with other strong personalities.

  • Ability to manage & oversee multiple projects simultaneously incl. strong Project Management skills.
  • Self-driven and self-organized.
  • Engage in an initiative to enhance practice tools and resources in alignment with regional specifics.
  • Must have a good understanding of global requirements across each business unit and local/regional specifics. 
  • Good knowledge on legal, technical, tax and financial specifics as it relates to Corporate Real Estate.
  • Global perspective and international experience; must know how BI operates as an entity and within functions.
  • Proficiency in financial modelling skills.
  • Must know key decision makers inside and outside the company in the respective sites and network.
  • Regional network of peers within and outside the real estate and pharma industry.
  • Ability to articulate goals/expectations and to communicate effectively to executive management
  • Act as an agile change agent with proven experience in change management.
  • Experience in developing, reviewing, and implementing strategies.
  • Discover and leverage internal and external research, benchmarks and trends to help facilitate business partner discussions about the future of their respective area.
