Specialist, Recruitment Admin
THE POSITION
The Recruitment Administration Specialist will support the development of HR General Services focused on Recruitment Administration. This role oversees vendor management and in‑house hiring processes, ensuring smooth and efficient recruitment operations. Working closely with HRBPs, Hiring Managers, and external vendors, the Specialist will provide administrative recruitment support across multiple time zones, company sites, and legal entities, serving employees in English.
Duties & Responsibilities
- Execute and run backend processes around Recruitment. Adheres to the data quality standards and delivers against defined SLAs.
- Participate in the roll-in of the selected BI countries following the Deployment Roadmap regarding Recruitment. Ensuring high quality service and day one readiness for every new country rolled in.
- Accountable for the execution of all related hiring and onboarding processes, continuously striving for improvements.
- Schedule interviews and assessments for candidates.
- Manage the offer letter creation for hiring.
- Liaise with external vendors on pre-employment requirements completion.
- Manage visa/work permit processing for identified candidates.
- Partner with hiring managers and senior leadership team on resource planning, recruiting strategy, and other talent related processes.
- Establish and drive relationship with vendors, partners.
- Ensure SLA is met through Hiring Manager and Candidate survey responses.
- Prepare Recruitment reports for key stakeholders.
- Liase with the respective HRBP/Local HR and Hiring Managers to ensure operational process excellence.
- Collaborate with Global Process Owners on process alignments and improvements.
Requirements
- Academic degree in Human Resources, Psychology or equivalent.
- Minimum of 3 years’ experience in Recruitment and Onboarding, preferably within a Shared Services environment.
- Expert knowledge in the field of Recruitment, Extensive customer orientation, International experience.
- Ideally work experience in different HR roles.
- Ability to work across business units /geographies; cultural sensitivity; strong external network providing access to best HR and talent practices and innovation.
- Must be amenable to work in night shift.
