Manager Administration - Mumbai
The Position
Responsible for maintaining a safe and secure work environment, Responsible for management of daily administrative activities, budgeting, Office Leasing, repair and maintenance, housekeeping, Vendor Management, expense tracking, service provider management and in addition responsible for assisting in Occupational Health, EHS, Security & Crisis Management operations.
Tasks & Responsibilities
- Maintain overall look and feel of the office in terms of decor, housekeeping, and provide a hygenic, employee friendly work place. Deal with satutory authorities, landlord and Vendors for smooth office/branch office operations.
- Function as a project manager for office repairs, expansions related work to include all aspects - drawings, commissioning, fitouts, communication etc. Responsible for installation, maintainence and repairs of all office equipment which includes - EPABX, FRI Lines, HVAC, Vending Machines, water purification, plumbing, Electricity supply etc.
- Contract management for all services sourced.
- Overseeing the recruitment of new staff, sometimes including training and induction Monitor attendance and working hours of the staff/service providers.
- Environment, health and safety standards need to be maintained. Align the operations as per GFE standards.
- Delegating work to staff and managing their workload and output. Establish lines of control and ensure adequate staff levels to cover for absences and peaks in workload by using available resources.
- Responding to customer enquiries and complaints and providing timely solutions.
- Enabling function has indirect impact on business who would otherwise have to waste energy and time on items not under domain in the absence of the functional role.
Requirements
- Education: Bachelor’s degree or equivalent related work experience required; Preferred B.Com Degree, PGDB/ MBA
- 12-15 years of experience in Administration. Competencies include facilities management, people management, Security, EHS & Crisis managements, budgeting and ensuring smooth and continuous services, labour compliances, projects and maintenance management along with asset management.
- Fluent verbal and written skills in English.
- Resistant to stress, high level of self-motivation.
- Strong skills in the areas of negotiations, solid experience in problem solving.
- Need Good skills with Excel and Power point.
- Position will be based at Mumbai.
