SR Specialist, Graphic Coordinator

The Senior Specialist, Graphics Coordinator serves as a liaison between clients, outside vendors, internal directors and managers (Marketing, QA, Planning, US and International Regulatory, Supply, QA, POPUs, CMOs) to ensure efficient and timely creative project processing (LCM and Launch projects). This role supports multiple operating functions within Global Product Lifecycle Management. The ideal candidate should have the ability to communicate and network with diverse work community both in USA and internationally.

The Senior Specialist, Graphics Coordinator coordinates and tracks the assignment of packaging changes to Graphic Designers to ensure projects are completed with respect to priorities/timelines.

Duties & Responsibilities

Organizational management of printed packaging materials:

  • Receives Packaging Graphic requests in OnePAC.
  • Receives LCM and Launch Project requests and logs/records them in the tracking tool including priority if noted.
  • Evaluates project requests and provides packaging graphic feedback to LCM and Launch Project Process Owner. 
  • Ensures requests are completed according to procedures: analyze the content and work with internal customers to obtain any additional information needed to start a new graphic project.
  • Additional information including GTIN codes, variable data layout (DaCoR), concurrent changes (e.g.: packaging redesign), confirmation/creation of new component numbers, confirmation of assigned country(s).
  • Acts as Key User for OnePAC (SME).


Process and Workflow:

  • Acts as (OnePAC)Packaging Workflow team member, determine and support creation of workflows for approval process.
  • Understands the complex approval process and regulatory aspects for each market.  
  • Interacts with (OnePAC) Packaging Workflow tool team on workflow creation and optimization.
  • Troubleshoots and collaborates with Graphics Teams globally to establish GxP.
  • Creates new graphic project dossiers according to department procedures and country requirements in the (OnePAC)Packaging Workflow tool.
  • Supports the development of training activities for (OnePAC)Packaging Workflow tool for all users in countries supported by Packaging Artwork Management–North America (GO DUL).
  • Reviews role assignments within OnePAC projects to ensure correct reviewers are assigned within Groups.
  • Pursues training and follows up with associates to fulfill responsibilities.


Packaging Status:

  • Consistently follows-up on all projects by maintaining a database, tracking projects from initiation of artwork through development to completion through (OnePAC)Packaging Workflow tool.
  • Initiates communication with all relative parties to insure understanding of deadlines, expectations and interruptions to workflow.
  • Leads graphic team tracking meetings and update the tracking data on a regular basis.
  • Understands and communicates the qualitative aspects of projects. 
  • Manages and tracks change requests in OnePAC, review cycles, artwork approval and release.
  • Represents Packaging Artwork Management–North America in LCM and Launch project tracking meetings.
  • Provides packaging status updates and discuss issues and opportunities at Boehringer-Ingelheim production sites and/or within Packaging Artwork Management team.
  • Manages important project specific information (i.e. expected artwork release dates, RA expected approval dates, etc…).
  • Communicates regularly with the Graphic Designers to ensure deadlines are met as well as provide any important information from LCM and Launch project tracking meetings.
  • Provides status updates to other BIAH functions as required.


Project Management:

  • Project Tracking: utilizes attention to detail to manage assigned projects from start to finish.
  • Monitors progress of the artwork creation with the graphic designers.
  • Defines deliverables and timelines with internal customers and stakeholders.
  • Responsible for management of tracking artwork revisions, routing approvals for change requests.
  • Interfaces with sites relative to upcoming projects, timelines and potential roadblocks.
  • Ensures graphic files organized and filing all documentation according to department procedures in OnePAC.

Requirements

  • Bachelor’s degree required, preferably with a concentration in Printing, the Graphic Arts.
  • Minimum of one to three (1-3) years’ experience as a Graphics Production Specialist, Graphic Coordinator or Print Planner in a corporate environment, preferably with a packaging background.
  • Strong PC application skills: Microsoft Office, Microsoft Projects, PowerPoint, Adobe Acrobat.
  • Strong communication skills with the ability to effectively negotiate timelines.
  • Demonstrated ability to work on multiple projects while maintaining attention to detail.
  • Ability to analyze and quantify complex data; identify pertinent indicators.
  • Self-starter with strong organizational skills, ability to work alone and unsupervised.
  • Ability to act on own initiative when warranted.
  • Ability to maintain confidentiality.


Eligibility Requirements:

  • Must be legally authorized to work in the United States without restriction.
  • Must be willing to take a drug test and post-offer physical (if required).
  • Must be 18 years of age or older.

Desired Skills, Experience and Abilities

Additional Duties & Responsibilities:

Communication – Be proactive and timely in communications to internal customers and stakeholders by:

  • Provides updates in Project teams and specially manufacturing site, leading specific projects where expertise in packaging is required, provides accurate answers on specific requests (including clarification of needs, evaluation of solution, development of action plan), provides project deliverables in a timely manner.


Reporting:

  • Measures the activity and communicate to management using both tracking information and/or OnePAC reporting.
  • Maintains graphics tracking tool files.
  • Updates each request as it enters the department, assign printed component numbers, track where the job is in the queue by following its progress from Graphic Designer to proofing to approvals and on through the print vendor process, charts quantitative data from the tracking table of what is in our current queue.


Reporting Communications:

  • OnePAC and/or tracking tool will be used as a KPI reporting and communication tool by tracking the number and nature of revisions, as well enabling the timely progress.
  • Writes complex correspondence, collect and organize data with close attention to detail, issue forms, proofread, create memos, letters, reports.


Information Management:

  • Maintains an electronic record of all current released artwork in (OnePAC)Packaging Workflow tool.
  • Updates and maintains the component number spreadsheet.
