Vehicle Fleet Administrator
The Position
To lead the management of Boehringer Ingelheim’s vehicle fleet in Argentina as the primary country, with regional oversight across South American countries including Uruguay, Chile, Ecuador, Peru, Colombia, and Venezuela. Ensure operational efficiency, regulatory compliance, and alignment with strategic business goals, with a strong focus on sustainability and the transition to a green fleet.
Tasks and responsibilities
Key Responsibilities:
- Design and execute the regional fleet strategy, aligned with business objectives and goals for transitioning to a sustainable fleet.
- Act as the regional point of contact for fleet management, providing guidance and support to local teams.
- Ensure the satisfaction of internal users and stakeholders through proactive, service-oriented management.
- Support the development and implementation of global and regional policies and procedures to ensure efficiency and standardization.
- Ensure the traceability of all processes through digital tools and standardized reports.
- Apply analytical thinking to interpret data and generate actionable insights.
Operations and Control:
- Oversee daily fleet operations in multiple countries, ensuring vehicle availability, safety, and reliability.
- Implement and monitor KPIs and reporting tools to track performance, costs, and utilization.
- Ensure that preventive and corrective maintenance is performed in accordance with established standards.
- Manage workshop assignments and maintain up-to-date records in the reservation system.
Financial Management and Supplier Relations:
- Prepare, manage, and control the regional fleet budget (OPEX and CAPEX).
- Negotiate contracts and service agreements with suppliers, manufacturers, and logistics operators.
- Monitor and optimize costs related to fuel, maintenance, leasing, and insurance.
- Manage purchase orders and internal accounting reports by cost center.
Compliance and Safety:
- Ensure compliance with local and regional traffic, road safety, and environmental regulations.
- Lead audits, training, and reports related to incidents, violations, and policy compliance.
- Manage legal and regulatory documentation: powers of attorney, certificates, notarized documents, etc.
Innovation and Sustainability:
- Promote the adoption of emerging technologies and digital solutions for efficient fleet management.
- Develop transition plans to clean energy vehicles (hybrid or electric).
- Actively participate in the review and update of mobility tools and benefits policies.
Coordination and Leadership:
- Collaborate with internal teams (Operations, Finance, Purchasing, EHS, HR) and external parties.
- Anticipate organizational changes that may impact fleet operations.
- Educate users on preventive maintenance and responsible vehicle use.
Requirements
Required
- 5+ years of experience in similar positions managing vehicle fleets.
- General knowledge of automotive mechanics.
- Intermediate-Advanced knowledge in Office package management (especially Excel).
- In-depth knowledge of local regulations applicable to vehicle fleet management.
- Advanced English level.
