Senior Executive Assistant
The Position
We are searching for a highly skilled Administrative Coordinator Expert to be a cornerstone of the newly established IU function, @Computationalinnovation. This is a rare and senior administrative role as well as a strategic position that anchor the global administrative operations.
As the trusted support to the Global Head of CI, you will deliver high-level, executive support with precision and discretion. In addition, we offer this position to guide and coordinate a team of assistants, ensuring excellence in administrative execution with anchor in Germany but connecting and driving our global footprint.
The CI function is the core of data science with IU, working very closely with our other IU functions, as well as adjacent functions. By joining us, you will become part of an ambitious, diverse, and inclusive team pushing the boundaries of scientific discovery.

This position has a hybrid setup with approximately 2-3 days per week on site.
Tasks & responsibilities
- As an Senior Executive Assistant, you will provide operational and administrative support and coordination of complex and confidential activities for the Global Head of Computational Innovation within both a local and global organization.
- With your administrative expertise, you will oversee the navigation of strategic initiatives and projects, as well as managing the Global Head's schedule, including handling correspondence and communications on his behalf with other departments and external partners.
- You will play an active role in the Computational Innovation growth, supporting the monitoring and leadership of projects and initiatives, and driving change (e.g. managing change communication).
- In your new role you will independently draft texts, mails, reports and presentations for the Global Head of Computational Innovation and the global leadership team.
- Besides taking on a technical leadership and guidance role for the Computational Innovation Assistants Group, you will organize and lead regular work meetings both locally and globally.
- Furthermore, you will be the main point of contact for travel management matters, including booking and accounting for business trips.
- You will collaborate in planning and monitoring various budgets (e.g. personnel and travel) and controlling them.
Requirements
- Completed apprenticeship as Management Assistant and further education as Business Administrator or similar education with long term professional experience in a global environment
- Comprehensive knowledge and experience in project management
- Strong understanding of business processes and coordination across divisional boundaries
- Expert knowledge and proficient use of MS Office applications, Boehringer internal systems, and general compliance requirements/regulations/SOPs
- High level of communication skills and strong service orientation
- Independent and solution-oriented way of working
- Ability to manage and handle confidential information
- Flexibility, proactivity, and excellent teamwork skills
- Proficient German and English skills for managing an assistant office with multiple national/international interfaces
