As the Unit Project Coordinator for Cardio-Renal-Metabolism (CRM) you will be supporting our Field Force team with different administrative tasks (e.g., vendor management, handling our different systems, ordering lunch, maintaining overviews of invoices, creating PO numbers, etc.).

This position is based in Amsterdam and reports directly to the Strategic Marketing Lead HP.

YOUR KEY RESPONSIBILITIES

  • Logistic and administrative support for meetings / congresses, venue & catering (internal & external).
  • Support in accurate financial management. Maintain overviews of invoices, PO’s (WeBuy), commitments, planned activities & regularly provide this overview to budget owners.
  • Creating registration links in our attendance tool.
  • Setting up BI or sponsored training events in Veeva CRM.
  • Creating/releasing/printing/sending invitations (Systems: Canva/Vault/Arvato).
  • Add necessary documents to Veeva CRM: quotes, invoices, etc. & close events & training programs in Veeva CRM.
  • Performing final checks on hospitality and transparency reporting.
  • Support in coordinating conferences and activities from the Sales department: In collaboration with Regional Account Managers (RAMs), maintain contact with Buck Design for stand placement, etc.
  • Acting as the primary point of contact for Sales.
  • Manage facility related tasks e.g., support in stock management of materials/ordering materials.
  • Managing accreditation for BI regional training sessions.
  • Creating landing pages on Medclass (our educational platform).

 

WHAT YOU SHOULD BRING TO THE TEAM

  • Education in project management, business administration or similar.
  • At least 3 years of experience in a similar role.  
  • Fluent in the Dutch & English languages.
  • Ability to plan & organize.
  • Solid time management, prioritization and scheduling skills.
  • Excellent stakeholder management skills – you feel energized while being in touch with different stakeholders (colleagues, vendors, etc.) to make sure that tasks get executed on time.
  •  A positive, proactive attitude and strong communication skills.
  •  Accountable, result-oriented, and innovative mind-set.
