Operational Assistant (m/f/d), Part-Time 20h
The position
We are seeking a well-organized and team-orientated Assistant (m/f/d) to join our Legal & Compliance department at Boehringer Ingelheim site in Vienna. The focus of the position will be the support of the teams and the members of the Legal & Compliance department. Please note that this position is temporary until March 31, 2026.
Tasks & responsibilities
- Support the Legal & Compliance teams in all administrative aspects such as organization of meetings and appointments both internally and externally (digital and F2F)
- Support in the organization of business trips (workflows, travel expense management, account, etc.) and internal projects/initiatives (e.g. preparing/structuring and compiling documents)
- Preparation of presentations, training documents, letters, checklists, etc. Review of drafts and revision of contracts, letters and contract templates (e.g. table of content, formatting, proof-reading etc.)
- Key-user role for systems used by Legal & Compliance (CorA, LMS, Time Administration), MyBI Intranet Editor/Coordinator and Onboarding of new colleagues
- Procure consumable supplies/order, internal/external services and stationery as well as purchase order creation and invoice settlement; creation and Handling of accruals with our various law firms at the end of each year
Requirements
- Completion of commercial school/college (HAK, HLBA, HASCH, etc.) and previous experience in equivalent position would be beneficial
- Excellent verbal and written communication skills in both German and English required
- Resilience, reliability and accuracy
- Commitment, collaborative and creative spirit, team player, “can do” attitude, solution orientation, flexible and agile mindset
- Proficiency in MS Office (Excel, Word, Power Point, Outlook), willingness to learn, creativity in presentations in various concepts, digital savvy

The minimum gross annual salary for this position is €46.305 per year (full-time) according to the classification in the collective bargaining agreement for the chemical industry. Depending on professional experience and qualifications, we offer an overpayment.
