Executive Assistant

 

THE POSITION 

 

To provide executive-level PA support to the Country Managing Director/Head of Human Pharma including extensive diary management, planning, and coordination of meetings, events, and various projects. This role requires managing and prioritizing the workload with a high degree of autonomy and agility to meet business needs and achieve desired outcomes. Additionally, it offers a great opportunity to make the role their own by identifying efficiencies and implementing new ways of working, such as utilizing AI.


TASKS & RESPONSIBILITIES 

 

•    Diary Management: Efficiently coordinate the busy CMD/Head of HP schedule, prioritizing commitments to meet strategic goals.

•    Communication: Act as the primary contact for internal and external stakeholders, managing correspondence and queries.

•    Meeting Coordination: Organize and co-ordinate meetings, including logistics and document preparation for local and global meetings, and additionally minute-taking for Executive Committee and Human Pharma Leadership Team meetings.  Follow up on actions.

•    Information Management: Ensure confidentiality and secure information flow within the leadership team.

•    Project Support: Assist in project management, track progress, and support milestone achievement.

•    Relationship Building: Maintain and build relationships with stakeholders on behalf of the CMD/Head of HP

•    Process and Innovation: Manage purchase orders, invoices, and departmental admin, including organization charts and distribution lists.

•    Travel & Expenses: Handle all travel arrangements and expense administration.

 

REQUIREMENTS 

 

The ideal candidate will be extremely proactive, flexible, and diligent, with the ability to prioritize their workload and handle pressure effectively. They should possess excellent organizational and administrative skills, strong interpersonal skills for effective collaboration, and outstanding written and verbal communication abilities.
